1. Data controller

The controller of your personal data is AMAXIA Energy SRL, Chaussée de Malines 455, 1950 Kraainem, Belgium, company number 1043.417.617, reachable at Info@amaxia-energy.com or +32 499 50 93 74.

We process your data in accordance with the General Data Protection Regulation (GDPR, Regulation (EU) 2016/679) and the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.

2. Data we collect

• Contact form: first and last name, phone, email, municipality, type of project and the content of your message.
• Phone, email or WhatsApp exchanges: the information you provide to us.
• Customers: site address, technical information about the property and installation, billing details.
• Technical browsing data: IP address, browser type, pages visited, date and time, logged automatically by the hosting server for security purposes.

We do not collect any sensitive data and use no advertising or analytics tracking tools.

3. Purposes and legal bases

• Responding to your request and preparing a quote — pre-contractual steps at your request and consent (Art. 6(1)(a) and (b) GDPR).
• Carrying out the installation, maintenance or repair and providing follow-up and warranty — performance of a contract (Art. 6(1)(b)).
• Invoicing and accounting, keeping the records required for refrigeration equipment — legal obligation (Art. 6(1)(c)).
• Website security and abuse prevention (anti-spam) — legitimate interest (Art. 6(1)(f)).
• Reminding you of your system's annual service, if you are a customer — legitimate interest; you may object at any time.

4. Recipients

Your data is intended solely for AMAXIA Energy SRL. It is never sold or rented. It may be shared, strictly as necessary, with:

• our web host and email provider;
• our accountant;
• equipment manufacturers or distributors, for warranty registration;
• public authorities, where required by law.

5. Third-party services and transfers outside the EU

Product photos: some air conditioning photos are loaded from Daikin Europe's image server. Your browser therefore sends your IP address to that server, as with any image hosted by a third party.

WhatsApp: if you choose to contact us via WhatsApp, your messages are subject to WhatsApp's (Meta) terms and privacy policy, which may involve transfers outside the European Union.

Fonts: fonts are hosted directly on our website; no data is sent to Google or any other provider for this purpose.

6. Retention periods

• Contact requests and quotes not accepted: up to 3 years after the last contact.
• Customer data related to a job: for the duration of the contract and warranty, then until the legal limitation periods expire.
• Invoices and accounting records: 10 years (legal obligation).
• Technical server logs: period set by the hosting provider, usually a few months.

7. Your rights

You have the right at any time to access, rectify, erase, restrict, object to and port your data, and to withdraw your consent. To exercise these rights, write to us at Info@amaxia-energy.com or by post to our registered office. We reply within one month. Proof of identity may be requested in case of reasonable doubt.

If you believe your rights are not being respected, you may lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels — contact@apd-gba.be — dataprotectionauthority.be.

8. Security

We apply appropriate technical and organisational measures to protect your data: secure connection (HTTPS), anti-spam protection of the form, and access restricted to the partners of AMAXIA Energy SRL.
